Someone needs legal help on a Tuesday evening. They fill in a request. Then the machinery starts: somebody has to read it, decide which adviser is right for it, email that adviser, wait for a reply, chase the client for documents, send an agreement to be printed and scanned back, remember to raise a fee note, and — weeks later — remember to chase the fee note. Every one of those steps lives in a different tool, and the client, who only wanted an answer, sees none of it.
That was the operational reality Lawyers & U set out to fix. The United Kingdom business runs an online platform that matches clients with legal professionals for short-term advice and case handling — a genuinely good idea that lives or dies on how quickly a request reaches the right adviser and how cleanly the money follows the work. What they needed was not more software; it was one system where lead capture, adviser matching, case progress, document exchange, billing and reporting were the same record rather than five separate ones.
Acube Innovations, an Official ERPNext Partner, implemented a tailored ERPNext back office and built the client and adviser applications that sit on top of it — responsive web plus Flutter mobile. Clients submit and track requests, receive their adviser assignment, book a consultation, exchange documents and sign agreements electronically. Advisers manage their assigned cases, update status and invoice directly from the app. Behind both, ERPNext holds CRM, case workflows, billing and the document trail, so nothing has to be re-keyed and nothing depends on someone remembering.

every request needed a human to read it and decide who it belonged to.
neither client nor adviser could see where a matter actually stood without asking.
, with agreements printed, signed and scanned back instead of signed digitally.
fee tracking and payment chasing were separate, manual jobs.
on case volumes, resolution times, adviser performance or client satisfaction, so improvements were guesswork. > The cost of staying as-is: in on-demand services, the gap between a request arriving and an adviser picking it up is the product. Every hour spent routing by hand is an hour the client spends wondering whether to try someone else — and every unbilled matter is cash sitting in someone's to-do list.
A tailored ERPNext implementation with companion client and adviser applications — configured around how a legal-help platform actually runs, then built out where standard modules stopped:
| Capability | What it gives you |
|---|---|
| ERPNext CRM & client intake | Every legal request captured as a structured record from the first touch — no inbox triage, no lost enquiries. |
| Case management workflows | Request-to-resolution stages with owners and status, so a matter's position is a fact in the system rather than a phone call. |
| Rules-based adviser matching | Requests routed to the right adviser automatically, with notifications for new requests, messages and pending uploads. |
| Client app (web + Flutter mobile) | Clients submit and track requests, see their adviser assignment, schedule consultations, exchange documents and sign electronically. |
| Adviser app | Advisers manage assigned cases, update statuses and raise invoices directly from the app — no return trip to a back-office screen. |
| Secure document management | Encryption-backed uploads, secure previews and version tracking, with e-signature built into the agreement flow. |
| Payments & invoicing | Payment gateway for upfront deposits plus milestone-based invoicing, with status updating automatically in ERPNext. |
| Dashboards & analytics | Real-time view of cases opened, average resolution time, adviser utilisation and client feedback trends. |
| Training, deployment & support | Onboarding for in-house staff and adviser training covering compliance, security and day-to-day use — then ongoing support after go-live. |

The platform is live and running the business day to day, and two numbers show where it earns its keep.
The adviser match rate rose 23%. Nearly a quarter more legal requests now reach an adviser instead of going unanswered — which in an on-demand model is the difference between a client served and a client who quietly goes elsewhere. Requests are captured and routed automatically rather than waiting on someone to triage an inbox, so fewer of them stall at the first step.
34% of invoices are collected automatically — a third of the billing cycle that no longer needs chasing, because the invoice is raised against the case record rather than reconstructed from it afterwards.
| Outcome | What it looks like day to day |
|---|---|
| Adviser match rate up 23% | Requests are captured and routed to advisers automatically, so fewer go unanswered at the first step. |
| Engagement cycles | Faster, with the administrative bottlenecks between request and first adviser contact removed. |
| Adviser–client interaction | Transparent, with digital documentation and e-signed agreements replacing print-and-scan. |
| Cash flow | 34% of invoices collected automatically, tied to the case record — the rest chased with a full payment history behind them rather than from memory. |
| Operational decisions | Data-driven, with real-time reporting on cases, resolution time, adviser utilisation and feedback. |
| Growth headroom | A secure, scalable platform able to support national growth in on-demand legal services. |
The single biggest shift is not any one feature. It is that a legal request stopped being a message that someone had to act on and became a record that the system moves forward — assigned, tracked, documented, signed, invoiced and reported on, in the same place.
We mapped the request-to-payment journey — intake, matching, consultation, documents, signature, invoice — before configuring anything, so ERPNext was shaped to the workflow rather than the workflow bent to fit a module.
Clients and advisers each got an interface built for what they actually do, sitting on a single ERPNext source of truth. No duplicate data entry, no reconciliation between systems.
Encrypted uploads, secure previews, version tracking and integrated e-signature — because a legal platform that cannot be trusted with a document has no product.
Guided onboarding for in-house staff and dedicated adviser training on compliance, security and daily use, so the system was in real hands from day one.
Ongoing support means the platform keeps pace as case volumes, adviser numbers and workflows change — which, on a growing platform, they always do. That approach is why 70% of our work comes by referral: clients keep us because we are still there after the launch week.

Yes. At Lawyers & U we used ERPNext for lead and client intake, case workflows, fee tracking and invoicing, and document storage and messaging — the same building blocks a marketplace needs. The platform-specific behaviour, like rules-based adviser matching, is added through customisation on top.
No — they use interfaces built for their own jobs, working off one ERPNext record. Clients submit and track requests, schedule consultations, exchange documents and sign agreements. Advisers manage assigned cases, update status and invoice from the app. Neither side sees the other's clutter.
Uploads are encryption-backed, previews are secure, and every file carries version tracking, so you always know which draft was the one signed. E-signature is integrated into the agreement workflow rather than bolted on, which is what removes the print-sign-scan loop entirely.
It connects. A payment gateway handles upfront deposits and milestone-based invoicing, and payment status updates automatically in ERPNext against the matter. That is what turns collection from a chasing exercise into a status you can see.
One team does both here. We implemented and customised ERPNext and built the Flutter mobile and responsive web apps ourselves, which is precisely why the apps and the back office share one data model instead of being stitched together by integrations later.
