Each state has a Doc Status
0 keeps the document a draft, 1 submits it, 2 cancels it. A transition that tries to go back from submitted to draft is refused.
Roles decide who sees an action
A transition lists one Allowed role. Two transitions with the same action and different conditions let a bigger order go to a more senior role.
Self approval is off unless you allow it
Whoever created the document cannot approve it, unless that transition allows self approval.
Each transition names one Allowed role. A user sees the actions from the current state whose role they have and whose condition, if any, is true.
Yes. Give two transitions the same action with different conditions — for example under ₹5 lakh for the purchase manager and from ₹5 lakh for a director.
Not unless the transition allows self approval. Otherwise ERPNext refuses with “Self approval is not allowed”.
It decides what the transition does to the document: 0 keeps it a draft, 1 submits it, 2 cancels it. Going from submitted back to draft is not allowed.
