Inspection reports on paper, approvals on paper, and no view across offices. Acube built KSEB a web portal that put both online.

A power utility runs on fieldwork: engineers inspect sites, report what they find, and wait for approvals before work goes ahead. When those reports and approvals move on paper registers and forms, each office keeps its own copy, management waits for the data to be compiled by hand, and nobody can see the state of the field work at a glance.
That was the situation at the Kerala State Electricity Board (KSEB). Records were kept in paper registers and forms, there was no central view across offices, reporting to management was slow, and field work was hard to track.
Acube built KSEB a web portal used by KSEB officers and field engineers for inspection and site reporting and internal approvals and workflows, across several offices and circles. Records were digitised, and offices gained one view across all of them. The portal was delivered before 2019.

KSEB's field work generated a steady flow of reports and approvals — and all of it was on paper.
Inspection reports and approvals were recorded by hand.
Offices couldn't see each other's data.
Figures had to be compiled manually from paper.
There was no ready status on what had been inspected or approved.
The cost of staying as-is: in a utility, information that lives on paper in one office is invisible to every other office — and to the people who need to make decisions on it.
A web portal that gives officers and field engineers one place to report and approve.
| Capability | What it gives you |
|---|---|
| Inspection & site reporting | Field engineers submit their inspection and site reports in the portal. |
| Internal approvals & workflows | Requests are raised and approved online, with each step recorded. |
| One portal across offices | Several offices and circles work in the same system. |
| Web-based | Officers and engineers use it in a browser — no software to install. |
KSEB didn't give us measured figures, so we are not quoting any. Two changes:
The portal replaced paper registers and forms for inspections and approvals.
Offices and circles see the same data in one place.
The portal is built around two activities that ran on paper: inspection reporting and internal approvals. Putting both online, in the same system, is what turned paper registers into shared records.
Because every office and circle worked in one web portal, the data that used to sit in separate registers became a single shared view. A web portal suited the users: officers in offices and engineers moving between sites can both reach it from a browser. We have built systems for Kerala's public sector before — see KSRTC and Kochi Metro — and 70% of our work comes by referral.
A web portal like KSEB's is worth considering when:
Inspection reports and approvals are recorded on paper.
, and nobody sees the whole picture.
Management reports are compiled by hand.
from the office.
and need one system they can reach from a browser.
If that sounds like your department, the starting point is the form that creates the most paper. That is usually the first thing to move online.

Yes — across several offices and circles.
No. It is a web portal, used in a browser.
Yes — including KSRTC, Kochi Metro Rail and BrahMos Aerospace (BATL). See our case studies.
KSEB's portal covers inspections and approvals. Starting with the processes that create the most paper, and adding more later, is usually the safest route.
