An auditor asks for the signed risk disclosure on a client account opened fourteen months ago. Somebody remembers it came in at a branch. Somebody else thinks it was emailed as an attachment — possibly to a colleague who has since moved on. A cupboard gets opened, a mailbox gets searched, and an hour disappears before anyone can say for certain whether the document exists at all. Multiply that by every KYC form, consent and client agreement a securities business collects, and the cost isn't the hour. It's the risk that one day the answer is no.
That was the position at Muthoot Securities Limited, an Indian financial services firm in securities trading and wealth management. Documents were real and correctly collected — they were just scattered across paper files, branch cupboards and email attachments, with no version control, no audit trail, and no standard way for an employee to handle a form during an onsite client visit.
Acube built MScan, a cross-platform Flutter app for internal teams and branches: scan a document with the phone camera, auto-crop and enhance it to archival quality, tag it with category, date, branch and user, and push it into the central repository — with role-based access controlling who can ever see it again. It captures offline and syncs the moment the connection returns, so a field visit is never blocked by a weak signal.

Beyond the number, the change is structural. Documents are now created as digital records at the point of collection, by the person collecting them, already carrying the category, date, branch and user that make them findable. Nothing has to be re-filed later, because nothing was ever loose in the first place — and when an auditor asks, the answer arrives as a filter on a repository rather than a search of a cupboard.
We started with the awkward moments, not the feature list: an executive standing in a client's office with a signed form and no scanner; a branch user who needs to file something correctly without being trained as a records clerk; a compliance team that needs to trust what it retrieves. Those moments set the design.
Three decisions carried the project. Capture had to be one-handed and forgiving — auto-crop and enhancement do the work so a hurried photo still produces an archival-quality file, which is why people actually used it. Offline had to be the default, not a fallback, because an app that needs a live connection to accept a document will be abandoned on the first visit where the signal drops. And tagging had to happen at capture, while the context is in the user's head, rather than being someone's job later — that single choice is what turned retrieval from an hour into a filter.
Adoption was treated as part of delivery, not an afterthought: onboarding sessions plus a written user guide, then regular reviews and updates so the app kept pace with the business. We didn't leave at launch.
