It is 6 a.m. in a Bangalore kitchen and today's batch is already baking. The problem is nobody can say exactly what today's batch should be. Yesterday's orders came in across email, a spreadsheet and a menu someone updated by hand; the stock figure on the sheet was last correct sometime the previous afternoon. So the kitchen guesses. Guess high and fresh, preservative-free food goes in the bin by evening. Guess low and a customer who ordered a birthday cake for her dog gets a phone call instead. Then the day's deliveries are carved up on a whiteboard, and for the next eight hours the only way to know whether an order actually arrived is to ring the person carrying it.
That was the operating reality at Dumas Bakes N Meals Private Limited, which makes fresh, preservative-free pet food and baked treats — cakes, snacks and full meals for dogs and cats — sold through online ordering and scheduled deliveries across Bangalore. It is a demanding combination: a direct-to-consumer storefront, a manufacturing kitchen with no shelf life to hide behind, and a last-mile delivery operation, all in one business. Run on disconnected tools, each of those three quietly sabotages the other two.
Acube, an Official ERPNext Partner, put the whole chain on one platform: ERPNext configured for sales, e-commerce, inventory, purchase, CRM and delivery workflows around perishable goods, plus a cross-platform on-demand delivery app for the agents on the road. Orders arriving on the storefront now land as real orders against real stock; the kitchen prepares to demand rather than to memory; and dispatch is planned by route and vehicle capacity from an ERP dashboard instead of a whiteboard.
The headline result: real-time delivery tracking increased on-time deliveries by over 40%.

orders handled through email and spreadsheets, with menus maintained manually.
, which on fresh daily production means stockouts one day and over-preparation the next.
the day's deliveries were arranged by hand.
no way to see order history, saved preferences or to simply reorder without contacting the team.
in manual reconciliation and in tracking where each delivery had actually got to. > The cost of staying as-is: with perishable food, every wrong forecast is either wasted product or a customer who didn't get fed. And a delivery you can't see is a delivery you can't promise — which is the one thing a scheduled-delivery business sells.
A complete digital transformation built around how a fresh-food D2C operation actually runs: the workflow first, then the ERP configuration and the app that fit it.
| Capability | What it gives you |
|---|---|
| ERPNext core — Sales, Inventory, CRM, E-Commerce, Purchase, Delivery Workflows | One tailored system covering the whole chain, configured for perishable goods and minimum order requirements rather than generic stock |
| On-demand delivery app (cross-platform) | Delivery agents see their assigned orders, scan pick-up, capture customer delivery confirmation — and keep working offline, with automatic sync when the signal returns |
| E-commerce & CRM integration | The online order portal talks directly to ERPNext, so customers place repeat orders, manage addresses and view past purchases and delivery schedules themselves |
| Real-time inventory & order sync | Stock levels update as orders are placed, dispatched or returned — so the kitchen prepares against live demand, cutting wastage and missed fulfilment |
| Dispatch & route scheduling | Route assignment and vehicle capacity management handled from ERP dashboards, optimising the last mile automatically instead of by whiteboard |
| Online payments | Payment gateways for online orders and payment on delivery, with reconciliation posting automatically into ERPNext |
| Training & deployment | In-depth training for operations, delivery management and customer service teams, so the end-to-end system was adopted as a way of working, not just installed |

, enabling faster and more accurate fulfilment — one queue, one record per order, no re-keying between inbox and spreadsheet.
, reducing wastage — production is planned against live stock and live demand rather than yesterday's snapshot.
through self-service ordering, saved addresses and visible order history, so reordering takes seconds and doesn't need the team.
, with invoicing and payment reconciliation automated instead of assembled by hand at month end.
, ready for expansion — more products, more orders and more routes without redesigning the process. The underlying shift is that the order record is now created once, at the point of sale, and everything downstream — the stock movement, the batch the kitchen prepares, the route it goes out on, the confirmation at the door, the invoice and the reconciliation — is a consequence of that single record instead of a re-typing of it.
We didn't open with a module list. We started with the perishable constraint, because it governs everything else in this business: what has to be known before the kitchen starts, how long stock stays sellable, what a minimum order has to be for a route to make sense. ERPNext was then configured to those rules, and the delivery app was designed around the four moments that actually happen on the road — assignment, pick-up scan, delivery confirmation, and the stretch in between where there may be no network at all.
Offline capability with auto-sync was built in from the start rather than added later. An app that needs a live connection to confirm a delivery is an app agents abandon in the first fortnight, and every abandoned confirmation is a delivery the office can't see. Alongside it, we trained operations, delivery management and customer service separately, in their own workflows — which is why the spreadsheet didn't quietly reappear the week after go-live.
And we stayed. As an Official ERPNext Partner in business since 2011, with 70% of our work coming by referral, we move into long-term support after go-live, because a live storefront and a live delivery fleet keep changing.

Yes — that was the central design constraint here. Inventory updates in real time as orders are placed, dispatched or returned, and the configuration was tailored to perishable goods and minimum order requirements, so production is planned against live demand rather than a figure that was accurate yesterday afternoon.
No, and separating them is what causes most of the pain. At Dumas the order portal is integrated with ERPNext, so a customer placing an order online creates a real order against real stock — and the same customer can manage addresses, view past purchases and see delivery schedules without anyone in the office touching it.
It shows the orders assigned to them, lets them scan at pick-up and capture the customer's confirmation at the door. It also works offline and syncs automatically once the device is back on a network, so a weak signal doesn't cost you the proof that a delivery happened.
Before, deliveries were arranged manually with no dispatch or route-optimisation platform behind them. Now route assignment and vehicle capacity management run from ERP dashboards, which is what made the tracked, on-time improvement of over 40% possible.
Both. Payment gateways cover online orders, payment on delivery is supported for the rest, and reconciliation posts automatically into ERPNext — so the cash collected on a route is matched to the order it belongs to, not reconstructed at the end of the month.
No. ERPNext is modular, so you start where it hurts most — usually orders and stock — prove the value, then add dispatch, payments, CRM or an app at your own pace. The architecture is the same whether you run one kitchen and a few routes or several of each.
