Score every shortlisted vendor against the same criteria — capability and India compliance (GST, e-invoice, TDS), total cost of ownership, implementation approach, post go-live support, track record with contactable references, and lock-in. The best partner is the one that fits your processes and will still support you in three years, not the one with the slickest demo.
Ask what's included in the price vs what costs extra, how they scope and migrate data, what the post go-live support (AMC) and response times look like, whether you can speak to a similar client, and how customisations survive upgrades. Clear, specific answers signal a partner who has delivered before.
Neither is universally better. Open-source platforms like ERPNext avoid per-user licence fees and keep your data portable, so you pay mainly for implementation, hosting and support — but you still need a capable partner to deliver it. Proprietary suites bundle more but lock you into recurring licences and their ecosystem. Judge the vendor on fit and delivery, not just the licensing model.
