A self-drive rental business lives on enquiries, and enquiries arrive whenever customers think of them: late at night, during lunch, on a Sunday. When every booking has to come in by phone or WhatsApp, the business can only take the bookings someone is there to answer — and checking a register by hand means sooner or later two customers are promised the same car.
That was the reality at AVS Rent A Car, a self-drive car rental business in Kerala. Bookings came in only by phone and WhatsApp. Customers had no way to see which cars were free. Bookings were kept in a manual register and Excel, and the result was double bookings and missed calls.
Acube built AVS a customer booking app and a web booking platform, where customers browse cars and book, pay online and see their booking history. Bookings are now taken around the clock, staff handle fewer calls, double bookings have stopped, and bookings went up. The project was delivered before 2019.

AVS had the cars and the customers. What it didn't have was a way for the two to meet without someone on the phone in between.
Every single booking started as a call or a message.
Customers couldn't see which cars were free, so every enquiry needed a person to check.
Bookings were tracked by hand, in a book or a spreadsheet.
Bookings clashed or were lost, and enquiries that came in when nobody could answer simply went away.
The cost of staying as-is: in rentals, an enquiry that isn't answered quickly becomes a booking with someone else — and a double booking turns a customer you had into one you lose.
A booking experience for the customer — on the phone and on the web — with availability and payment built in, so a booking can be completed without a call.
| Capability | What it gives you |
|---|---|
| Customer booking app | Customers book from their phone, at any time, without calling. |
| Web booking platform | The same booking journey on the web, for customers who prefer a browser. |
| Browse cars & book | Customers see the cars available and book for the dates they want — availability is shown, not guessed. |
| Online payment | Customers pay online as part of the booking. |
| Booking history | Customers can see their past and upcoming bookings. |
AVS didn't give us a measured percentage, so we are not quoting one. All four of these changed after launch:
Customers book whenever they want to, without waiting for office hours.
Staff spend less time on the phone taking and confirming bookings.
Availability comes from the system, so a car can't be promised twice.
Bookings grew after the app and website went live.
The underlying shift: the booking is created by the customer at the moment they decide, with the dates and payment attached — instead of being reconstructed later from a phone call and a register.
Each part of the build answers one of the problems. Online availability answers "is the car free?" without a call. Booking from the app and the web removes the dependence on the phone line. One system of bookings replaces the register — and with it the double bookings, because the same car can no longer be in two places in two books. Online payment completes the booking in one go, so it doesn't have to be confirmed later.
None of it asks the business to change what it rents out. It changes how the booking reaches the business. We have built booking and fleet software for other Kerala vehicle businesses too — EVM Wheels, Kera Cabs and KSRTC among them — and 70% of our work comes by referral.
A booking app and website like AVS's is worth considering when:
, and enquiries outside office hours are lost.
, because they can't see it for themselves.
, and double bookings happen.
Your staff spend more time confirming bookings than serving customers.
, not later at the counter.
If several of those apply, the number of cars you have is not what limits your bookings — the phone line is. That is what moving bookings online changes.

Yes. AVS customers browse the cars, book their dates and pay online in the app or on the website — no call needed.
By keeping bookings in one system instead of a register. At AVS, availability comes from that system, so a car that is booked is shown as booked.
That's your choice — an online channel doesn't have to replace the phone. What changes is that the phone is no longer the only way to book, so it stops being the limit on how many bookings you can take.
AVS chose both, so customers could book whichever way they prefer. Some businesses start with one; we'll recommend based on how your customers find you.
AVS is a Kerala self-drive rental business — and its bookings grew after launch. The size of the fleet matters less than how many enquiries you are losing to the phone.
Yes. A booking platform can be extended once it is running. Start with what removes the phone bottleneck — availability, booking and payment — and add more when you need it.
