It's a Tuesday afternoon at the office in Kochi. One line is a corporate account wanting three airport transfers on Friday. Another is a family asking what a two-day tour package costs, with a houseboat on the second night. A third caller wants a self-drive car for the weekend. Every one of those is a different vehicle class, a different rate card and a different set of dependencies — and every one of them is being written into a notebook, quoted from memory and confirmed by a follow-up call. Out on the road, meanwhile, a luxury coach has been sitting idle since noon because nobody at the desk can see that it's free.
That was the position Connect N Cabs Tours & Travels Pvt. Ltd. had grown itself into. Based in Kochi, Kerala, the company runs a genuinely diverse fleet — economy vehicles through to luxury, plus houseboats — serving airport transfers, corporate travel, city tours, point-to-point transfers, self-drive rentals and curated tour packages. The service catalogue had expanded faster than the systems underneath it: booking, dispatch and billing sat in different places, trips were assigned by hand, and there was no live view of where a vehicle actually was.
Acube built them a custom ERP platform — not a stock product bent into shape, but a system architected around this specific business model, because a mixed fleet selling both metered transfers and multi-day tour packages doesn't behave like a plain taxi operation. CRM and booking, fleet and dispatch, GPS tracking, billing and payments, maintenance and driver records now live in one platform, fronted by a customer self-service portal and an agent/driver app.
The headline result: a 35% increase in fleet utilisation, with idle time down across the fleet.

with no real-time vehicle tracking, so dispatch decisions were made without knowing where anything was.
every booking, change and status check went through a phone call or an email.

to see and manage their own assignments. > The cost of staying as-is: in a fleet business, an idle vehicle is a fixed cost earning nothing, and an enquiry that waits for a callback is a booking the customer makes somewhere else. Both were happening on the same afternoon.
A scalable, custom-built ERP platform designed around how this business actually sells and delivers travel — the workflow first, then the architecture to carry it:
| Capability | What it gives you |
|---|---|
| CRM & booking module | Enquiries captured at the point of contact, quotes automated against the right rate card, and confirmations recorded — so nothing depends on a notebook or a memory |
| Fleet & dispatch management | Centralised vehicle data with trips assigned on real availability and proximity, instead of a dispatcher's best guess |
| GPS vehicle tracking | Live vehicle locations with trip status updated in real time — the desk sees the fleet, not a report about the fleet |
| Billing & payments | Invoices generated automatically against completed trips, with multiple payment modes supported |
| Fleet maintenance & driver records | Service schedules, duty rosters and driver performance logged inside the ERP, so maintenance is planned rather than discovered |
| Customer self-service portal | Customers book, reschedule and cancel online and follow their own trip status — without occupying a phone line |
| Agent / driver app | Agents and drivers view trip details, confirm assignments, upload proof of delivery and take payments digitally, from the vehicle |
| Workflow automation | Automated trip-assignment workflows that cut the manual oversight out of routine dispatch |
| Role-based dashboards | Live figures on fleet usage, trip performance and financial summaries, scoped to what each role needs to act on |
| Training, rollout & support | Hands-on onboarding for office staff, dispatch teams and drivers, with user manuals, troubleshooting guides and 24/7 support through go-live |

The number the client reports is the one that matters most in this business:
| Outcome | Impact |
|---|---|
| Fleet utilisation | 35% increase, with idle time reduced |
| Booking to payment | Seamless flow from booking through dispatch to payment processing |
| Customer experience | Improved satisfaction on the back of online booking and real-time trip updates |
| Manual errors & admin | Significant reduction in both |
| Growth headroom | A scalable platform ready for new services and fleet expansion |
Beyond the 35%, the change is structural. The trip record is now created where the trip is sold and delivered — in the booking screen, then on the driver's device — and everything downstream follows from it: the dispatch decision, the customer's status update, the invoice, the accounts. Nobody re-types anything, which is why the manual errors and the administrative overhead fell away together.
We started with the enquiry, not the module list. How does a request for an airport transfer differ from a request for a two-day tour package with a houseboat? Which of those needs a rate card, which needs a schedule, and which needs both? Where does a driver actually stand when he confirms a job and takes a payment? Those answers determined the architecture — which is exactly why this was a custom build rather than a configuration exercise. A business selling six different kinds of travel off one mixed fleet needs a system that treats that as normal.
Two things then made it stick. The first was giving drivers and agents their own tools — an app that shows the assignment, confirms it, captures the proof and takes the payment. Field staff adopt software that removes a phone call from their day; they abandon software that adds one. The second was training every group in its own workflow before go-live — office staff, dispatch and drivers each got hands-on onboarding, manuals and troubleshooting guides, with support on hand around the clock while the system bedded in.
And we stayed. As an Official ERPNext Partner in business since 2011, with 70% of our work coming by referral, we treat go-live as the start of the engagement — a live fleet platform has to keep pace with the fleet it runs.

That was the requirement here. Connect N Cabs sells airport transfers, corporate travel, city tours, point-to-point transfers, self-drive rentals and tour packages off one fleet, and the platform was architected around that variety rather than around a single trip type. Vehicle data, availability and rate handling are centralised, so dispatch works across classes instead of per class.
Because the business model justified it. When a single operation sells metered transfers, multi-day packages and self-drive rentals, the differences are structural, not cosmetic — and forcing them through a generic taxi product creates workarounds that people quietly abandon. We build custom where the model demands it, and configure or customise an existing platform where it doesn't; the assessment comes before the recommendation.
At Connect N Cabs it contributed to a 35% increase in fleet utilisation with reduced idle time. Assigning trips on real availability and proximity — rather than on whoever the dispatcher can reach — is what closes the gap between a vehicle sitting free and an enquiry waiting for an answer.
They used it here, because it does work they'd otherwise do by phone: view trip details, confirm the assignment, upload proof of delivery, take payment digitally. We also trained drivers and dispatch teams hands-on before go-live, with manuals and troubleshooting guides, which is the other half of why adoption held.
Yes. The self-service portal lets them book, reschedule and cancel online, and follow their trip status live. That takes routine traffic off the desk and gives the customer an answer immediately instead of after a callback.
Yes — the platform was built to scale, and it's ready to support new services and fleet expansion. In practice we recommend starting where the pain is sharpest, usually booking and dispatch, proving the value, then extending into tracking, billing, maintenance and driver management at your own pace.
