An Idukki trader buys from unregistered growers, sells across state lines and hosts tourists on the side; his accounts need GST software that handles all three in one ledger.

Accounts in Idukki look simple from outside and are not. Spices bought from small farmers around Nedumkandam raise questions of reverse charge and purchase documentation. Sales go to buyers in Tamil Nadu, Delhi and Gujarat under e-way bills. A resort charges different GST rates depending on the room tariff, and its restaurant follows another rule. The accountant, often in Thodupuzha and serving several clients, pieces it together at month end.
Accounting and GST software on ERPNext keeps this in one system. It covers the general ledger, receivables and payables, bank reconciliation, GST invoicing, e-invoice and e-way bill generation, TDS, multi-company books and financial reports. Because purchases, stock and sales live in that one database, the GST return is built from the transactions and not retyped from them.

When invoices are made in one tool, e-way bills on the portal and books in another, the monthly return is a reconstruction. ERPNext raises the invoice, the e-invoice and the e-way bill together, and the return data comes from those same records.
Resorts and processors buy from many small vendors, and mismatches between their filings and your books quietly cost input credit. Reconciling purchase records against the supplier-filed data each month shows which vendors to chase before the credit lapses.
Estate income, trading profit, rent and the resort often run through overlapping bank accounts. Separate companies in one system, with inter-company entries recorded properly, give each business a true result and keep the year-end conversation with the auditor short.

An example
A spice-powder unit in the industrial plot at Muttom has a lorry booked for Coimbatore on a Thursday morning. The accountant raises the sales invoice in ERPNext, and the e-invoice and e-way bill are generated from it in the same minute, with the vehicle number added when the driver arrives. Nothing is retyped on a portal. While the lorry loads she runs the purchase reconciliation for the month: the system lists the growers and packaging suppliers whose filings do not match her books, and she messages two of them before lunch. At month end the return is built from those same invoices and purchases, and the auditor in Thodupuzha opens the ledgers online instead of waiting for a printout.
We work closely with your existing accountant or auditor, who usually knows the business better than anyone. Opening balances and outstanding bills are migrated from Tally or Excel and tallied before go-live. Training for the accounts staff is given in person, in Thodupuzha or at your premises, and month-end support for the first few closings is provided remotely from Kochi.
Discovery. Your chart of accounts, GST registrations, branches and how the month closes today.
Blueprint and fixed scope. A clear plan, the deliverables and the timeline, agreed in writing before configuration starts.
Configuration. Accounts, cost centres, GST and e-invoicing, approvals and the reports your accountant needs.
Data migration. Masters, opening balances and outstanding bills moved from Tally or spreadsheets, reconciled with your accountant.
Training, go-live and support. Your team tests on real data, we stand beside you at launch, then support continues under a plan.
The scope and timeline are agreed in writing before work starts.
Spice cultivation and trading
Grower purchases with correct tax treatment, interstate sales with e-invoice and e-way bill from the same screen, commission and brokerage accounting, and buyer-wise outstanding with ageing.
Resorts and homestays
Room, restaurant and activity income under their correct GST rates, advance receipts from agents and portals matched against stays, and property-wise profit statements for owners with more than one unit.
Agro-processing
Costing that links raw material, processing and packing to each finished batch, GST on sales through distributors and online marketplaces, and TDS on contractor and transport payments.
It need not. ERPNext produces the trial balance, ledgers, GST reports and schedules an auditor needs, and these can be exported. We involve your auditor early so that the chart of accounts and reports suit his way of working.
Yes. Suppliers are marked as registered or unregistered, and the system applies the tax treatment you and your tax adviser have decided for each category. Purchase documentation for unregistered growers can be generated from the system so that records are consistent.
One. ERPNext supports multiple companies and branches within a single installation. Each business keeps its own books and GST registration, shared customers and suppliers are entered once, and the owners can view consolidated or separate reports as they choose.
After a first conversation about your entities, GST registrations, users and the system you use today, we agree the scope and send you a written quotation. The price, the deliverables and the timeline are fixed against that scope before any work starts, so nothing grows without your sign-off.
You speak to someone who does this work, not a call centre. They ask about how your books, GST filing and month-end run today. If it looks like a fit, we agree the scope and put it in writing, with the timeline, before any work starts. If it does not, we tell you.

The DIC plot near Thodupuzha houses small processing units that sell interstate, so e-invoice, e-way bill and input-credit reconciliation are daily work there.
