A hospital with three shifts, an estate with daily-rated tappers and a cooperative bank with a board-approved pay scale all run payroll in Kottayam, and none of them fit a simple salary sheet.

Trusted by 200+ organisations across India & overseas — including

Kottayam's largest employers are not factories. They are hospitals, colleges, schools, plantations and financial institutions. Their people work in shifts, on duty rosters, on daily rates, on management pay scales, and sometimes on several of these within one organisation. Salary preparation is usually a large Excel file maintained by one trusted person, checked against an attendance register, with PF and ESI worked out separately. It functions, and it is fragile.
ERPNext HR and payroll, through the Frappe HR app, holds employee records, attendance from biometric devices or mobile check-in, shift rosters, leave with approval workflows, salary structures with any number of components, and statutory deductions for PF, ESI, professional tax and TDS. Payslips, bank advice and statutory reports come from one run. Loans and advances, expense claims, appraisals and recruitment are available when you are ready.

Nurses and technicians earn night, on-call and overtime allowances that are counted from paper rosters. With shifts assigned in the system and attendance captured from devices, those allowances are calculated by rule and can be explained line by line.
Tappers and field workers are paid by task, by day or by output, with seasonal gaps in the monsoon. Payroll can take quantities and days from field entries and apply the agreed rates, so the wage sheet is built from records.
Casual, earned, medical and special leave rules differ between teaching staff, non-teaching staff and contract employees. Leave policies by category, with balances visible to the employee, end most disputes before they start.

An example
At a private hospital on the Gandhinagar side of Kottayam the HR clerk starts the month's payroll after the evening shift changes. Attendance has come from the biometric devices all month, and the roster already knows which nurses worked nights and who was on call over the weekend. The system applies the night and on-call allowances by rule, deducts PF, ESI and professional tax, and produces payslips a nurse can open on her phone with each line explained. A doubtful entry, an overtime claim without a roster match, sits in a short exception list for the matron. Meanwhile the management's rubber estate near Pala has sent its tapping muster from the field app, and the daily-rated wages come out of the same run with a separate bank file.
Payroll is tested by running it in parallel. After a visit to your HR and accounts staff in Kottayam to collect structures, rules and the odd exceptions every organisation has, we configure in Kochi and run a cycle or two beside your existing method until the figures match. Training for HR staff and a short session for employees on self-service follow.
Discovery. Your salary structures, attendance sources, shifts, leave rules and statutory deductions.
Blueprint and fixed scope. A clear plan, the deliverables and the timeline, agreed in writing before configuration starts.
Configuration. Employees, shifts, attendance, leave, salary structures, PF, ESI, professional tax and TDS.
Data migration. Employee records, salary structures and opening balances, moved and checked.
Training, go-live and support. Your team tests on real data, we stand beside you at launch, then support continues under a plan.
The scope and timeline are agreed in writing before work starts.
Education and healthcare
Duty rosters and shift allowances for hospital staff, separate pay rules for teaching and non-teaching employees, guest faculty paid by the hour, and statutory reports across several institutions under one management.
Plantation agriculture (rubber, spices)
Muster and task entries for tappers and field workers feeding wages, plantation-specific benefits recorded, seasonal workforce changes handled, and payments split between bank transfer and cash where needed.
Banking and cooperative finance
Pay scales with increments and dearness allowance as approved by the board, staff loans recovered through salary, transfers between branches tracked, and confidential access limits on salary data.
Most common devices can be connected, either directly or through the export files they produce. Attendance then flows into ERPNext without retyping. For staff who work outside, such as field officers or estate supervisors, mobile check-in with location is an alternative.
Yes. Professional tax slabs, PF, ESI, TDS on salary and other deductions are set up as salary components with their rules, and can be updated when rates change. The half-yearly pattern of professional tax deduction followed by local bodies in Kerala can be configured.
One system, with each institution as a company or branch. Employees, payroll and statutory registrations stay separate where the law requires, while management sees combined headcount and cost. Transfers between institutions keep the employee's history.
After a first conversation about your headcount, locations, attendance sources and salary rules, we agree the scope and send you a written quotation. The price, the deliverables and the timeline are fixed against that scope before any work starts, so nothing grows without your sign-off.
You speak to someone who does this work, not a call centre. They ask about how many people you pay, how attendance is captured and how payroll is run today. If it looks like a fit, we agree the scope and put it in writing, with the timeline, before any work starts. If it does not, we tell you.

Two large footwear brands based here have over 35 ancillary units around Kottayam and Changanassery, the district's main example of vendor-based manufacturing
Ancillary units supplying footwear brands pay by piece and by day with seasonal peaks; wages built from job entries and attendance suit them better than a fixed salary sheet.

About 16 hectares with 66 allotted units (rubber goods, rolling shutters, bakery and wood products); part of the land houses the MSME Development Institute's Ettumanoor centre, and a facilitation centre was opened in June 2025
Bakery and wood-product units on the estate run early shifts and contract labour; ESI, PF and shift records need to be kept for each worker without a separate register.
