Material is ordered by phone from the site and delivered directly, and nobody compares what was received with what the drawings require. Site-wise stores with requests against the budgeted quantity, receipt at site on a phone and consumption by work item expose over-ordering and pilferage early.
Fabrication, roofing, flooring and electrical work are subcontracted, and bills arrive with quantities the site engineer half remembers. Work orders with rates, measurement entries and previously certified quantities on one screen stop double payment and keep retention and TDS correct.
Industrial clients pay against running bills tied to milestones. When measurements trail the work by weeks, the contractor finances the client. Progress recorded against the bill of quantities produces the running account bill promptly, and receivables are followed with ageing.
An example
Tuesday is a concrete pour at a pre-engineered shed going up in the KINFRA park at Ottapalam. Before the mixer arrives, the site engineer confirms on his phone that the cement and steel received yesterday match the delivery challans, and the goods receipt is already against the project's budget line. The roofing subcontractor's foreman hands over his bill for the last bay; the engineer enters the measurement, the system shows what was certified last time, and the bill goes to the office for approval with retention held. At the Palakkad office the owner sees the pour booked as progress against the bill of quantities and asks accounts to raise the running account bill for the client that afternoon. Meanwhile the second crew at a godown site in Vadakkencherry has requested shuttering plates, and the request shows as over budget until he approves it.
