Fuel is bought on credit at several pumps and reconciled loosely. Logging every fill against the vehicle with odometer readings gives mileage by vehicle and by driver, so an unusual drop shows within the week instead of hiding in a monthly bill.

An example

He confirms delivery at the terminal before dawn and photographs the receipt. The trip closes with fuel, tolls and ice against it, and the cost of getting that consignment to the aircraft is known the same morning.
