More detail
A second monitor, tablet or TV in the counselling room, turned towards the student and their family. It shows only what the counselor puts on it: the program, the batch, class times, how graduates got placed and the fee plans for that day. Never notes, concerns, limits or anyone else's details. It needs no login — it pairs with the counselor's desk by a six-digit code.
Admitting creates the student, their enrolment, their seat in the batch, their instalment plan, the first GST invoice and their portal login together. A student who joins late is charged for the classes still ahead, worked out at admission, with any dues merged into the first invoice. Counselors can approve a concession up to the limit you set; anything above it goes to the Accounts Manager with a reason.
Each program can put in writing what the student is told: the batch and its dates, the fee and when each part is due, the certificate, the refund terms and the help with a job. The student accepts it with a tick, and the system keeps exactly what they accepted and when. If the fee or dates change later, a new version goes to the student to accept.
A student under 18 on the admission day needs a parent's or guardian's consent — to the admission and fees, photos in supervised quizzes, sharing their profile with employers, and trips and practicals. The guardian gives it from a link, on the family screen or in the guardian portal, and may withdraw it later.
When a batch is full, people who still want it wait in line. A freed seat — a withdrawal, a transfer or more seats — is offered to the first in line and held for a set time; if they don't take it, it passes to the next person on its own.
When the office keeps an original certificate or passport, it is written down with a receipt: what it is, its condition, where it is kept and when it goes back. The student sees it in their app and can ask for it back; the office is warned when a return date passes.
A student who leaves or moves batch goes through the counselor and the Academic Coordinator approves. A refund follows the program's refund policy — the same rule that writes the refund terms in the promise and on the receipt — and the Accounts Manager approves and pays it, with a GST credit note in the books.
The counselor sends a set-password link by WhatsApp in one tap, and the student can sign in with their mobile number. An "Admission confirmed" message gives the program, batch, start date, timing, room and first invoice. The next class is on their home screen before they arrive.
