More detail
A program is what a student joins — a one-year diploma, a two-week certificate. It is made of courses taught in order, has a fee with an instalment plan, and sets the rules for its certificate. Programs run in batches, on a timetable in a room or live online, or on demand at the student's own pace. Batch timings — Morning, Evening, Weekend — are the days and hours batches meet.
A weekly planner shows every room and every trainer across all batches. Room seats tell the coordinator when a batch is too big for its room.
Every morning the system works out when each batch will really finish — the classes still needed, laid on its class days, skipping holidays. When that passes the planned end by more than a week, the coordinator and trainers are told, so nobody finds out at the end of the course. Students always see their expected dates.
Staff ask for leave in the portal and their approver decides. When a trainer is away, the coordinator sees which classes need someone and gives them to a free trainer. Trainers can also hand a class to a colleague, who agrees, and the coordinator approves.
Guest experts and part-time trainers are paid for the classes they actually take. Each month, or when a course ends, a statement of their held classes with attendance goes to the coordinator to approve; Accounts pays it, or for staff it joins the next salary.
Each course can carry a topic plan by class; trainers tick the topics covered and the desk shows how far each batch is behind. The coordinator can sit in on a class and rate it on your rubric, with strengths, things to work on and an agreed action.
One calendar shows outside exams with their key dates, your own exams, institute events and each student's deadlines. Notices go to one or many batches in one post — pinned until a date, with read receipts, and to parents when it matters.
One action, once each course has its sessions, trainer and room. Holidays are skipped and clashes are checked first.
