Checking the number…
Name and mobile are enough to start.
Never twice
A number already on record opens the existing enquiry, with its owner and last call. Walk-ins at a career fair save on the phone without a signal.
For the sales manager
Spend against admissions for each campaign. Lost reasons, team load and daily call targets beside it.

More detail
A quick enquiry takes a name and a mobile number; the program, preferred timing, source, campaign and qualification can follow. Typing a mobile number that already exists opens the existing enquiry with its owner and last contact, so the same person is never entered twice. A company asking about training for its staff is marked as a corporate enquiry from the start.
The person who captures an enquiry owns it, or it goes to a queue. The rule is yours: round-robin across the team, or by program, so the executive who knows the safety courses gets the safety enquiries. The sales manager can reassign through an approval, and every change stays on the record.
| Step | What happens |
|---|---|
| Queue | Call-backs that are due, counselling today, overdue, due today, then new enquiries nobody has called — hot before warm and cold |
| Call or WhatsApp | One tap from the desk; WhatsApp opens with the message written |
| Log the outcome | One tap (or a number key) records what happened and suggests the next step |
| Next person | The next enquiry in the queue opens on its own |
Priority is suggested from the outcome — interested makes someone hot, two days of no answer makes them cold — and the desk learns the hour each person usually answers. Fee, batch dates and the address are on the same screen, so nobody puts a caller on hold to look them up.
Every enquiry has a next follow-up date, set from the call. The Follow-ups list shows today, overdue and upcoming. Stages mean something: New, Contacted, Interested, Counselling booked, Admitted. Enquiries stuck after counselling was booked show as stalled, so they are noticed while they can still be saved.
Walk-ins are added at the counter in a few taps. Campus visits and demo classes are booked against the enquiry. At a career fair with no signal, walk-ins are saved on the phone and sent as soon as the connection returns.
Someone who wants a batch that has not opened waits in a list of their own and comes back when a matching batch opens. Someone who asks not to be contacted leaves every sales queue and campaign — the mark follows their mobile number and email — while messages they need as a student still reach them.
Students and alumni refer friends from their app or with a personal code. When the friend joins and pays their first fee, the referrer's reward goes to the Accounts Manager for approval.
Yes. Entering a mobile number that is already on record opens the existing enquiry, with its owner and the last contact.
One tap opens WhatsApp on the executive's phone or computer with the message already written; the executive sends it.
Yes. Each campaign's spend is set against the enquiries and admissions it brought, so the cost per admission is visible by campaign.
Yes. Walk-ins and call logs taken without a signal are kept on the phone and sent when the connection returns.
To the person who captured them, to a queue, round-robin, or by program — your choice.
Mark them do not contact and they leave every sales queue and campaign; student messages about fees and classes still go.
